Welcome to Helpline Tours and Travels Ltd. By accessing or using our services, website, or contacting us for bookings, you agree to comply with the following Terms and Conditions. Please read them carefully before proceeding.
1. Services Offered
Helpline Tours and Travels Ltd. provides the following services:
- Visa Processing: Tourist, Work Permit, Student, Medical
- Domestic and International Tour Packages
- Hajj and Umrah Packages
- Hotel Booking
- Air, Bus, and Train Ticketing
- Rent-a-Car Services (with driver)
- Document Handling and Delivery
2. Booking and Payment
- All bookings must be confirmed in writing (via email, WhatsApp, or official form).
- A deposit or full payment may be required to confirm bookings.
- Payments can be made via cash, bank transfer, credit/debit cards, or mobile banking.
- Bookings are subject to availability and confirmation from our team or third-party providers.
- Prices are subject to change without prior notice due to currency fluctuations, tax changes, or supplier pricing.
3. Visa Services
- Helpline Tours and Travels Ltd. acts as a facilitator only; visa approval is solely at the discretion of the respective embassy/consulate.
- Visa processing fees are non-refundable, even in case of visa rejection.
- Clients are responsible for providing accurate and truthful documentation.
- Any forged or incorrect documents provided will result in service termination without refund and may lead to legal action.
4. Tickets and Travel Arrangements
- Air, bus, and train ticket bookings are made as per client requirements and based on availability.
- Fare rules and cancellation policies are set by the respective carriers and must be followed.
- Helpline Tours and Travels Ltd. is not responsible for delays, cancellations, or service disruptions caused by airlines or transport companies.
5. Tour Packages
- Tour itineraries may change due to weather, local conditions, or third-party availability.
- Some components (hotels, flights, activities) may be non-refundable.
- Any personal expenses during the tour (shopping, food not included in the package, etc.) are the responsibility of the client.
6. Hajj & Umrah Services
- Hajj and Umrah packages are provided in accordance with the rules and regulations of the Saudi government.
- Once a package is confirmed and the visa is issued, no cancellations or refunds are allowed.
- Changes due to government restrictions, health emergencies, or other uncontrollable factors are subject to case-by-case handling.
7. Hotel Bookings
- Hotel bookings are subject to availability and confirmation.
- Cancellation and refund policies depend on the hotel provider’s terms.
- Clients are responsible for any additional charges incurred during their stay (e.g., minibar, damages).
8. Rent-A-Car Services
- Vehicles are provided with drivers only.
- Rental duration and charges will be agreed upon before dispatch.
- Additional charges may apply for overtime, tolls, or out-of-city travel.
- No smoking or illegal activities are allowed in the vehicle.
9. Cancellations and Refunds
- All cancellations are subject to our Cancellation Policy, Return Policy, and Refund Policy.
- Non-refundable service fees apply to most bookings, especially visa services and flight tickets.
- Refunds (if eligible) may take 10–30 business days and are subject to provider approval and deductions.
10. Document Delivery
- Most documents are delivered via email or messaging apps.
- Physical delivery (e.g., passports, original tickets) is arranged via courier at additional cost.
- Helpline Tours and Travels Ltd. is not responsible for courier delays or losses once dispatched.
11. Client Responsibilities
- Clients must provide accurate personal and travel information.
- Clients must ensure they meet all travel requirements (e.g., passport validity, vaccination, travel insurance, visa eligibility).
- Any fines or penalties resulting from incorrect information or behavior during travel are the client’s responsibility.
12. Limitation of Liability
- Helpline Tours and Travels Ltd. is not liable for any loss, injury, delay, or damage caused by third-party service providers (airlines, embassies, hotels, etc.).
- We are also not responsible for losses due to force majeure events (natural disasters, war, strikes, pandemics, etc.).
13. Privacy and Data Use
- All client data is collected and used in accordance with our Privacy Policy.
- We do not share or sell personal information to unauthorized third parties.
14. Changes to Terms
- Helpline Tours and Travels Ltd. reserves the right to update or change these Terms at any time without prior notice.
- Continued use of our services indicates acceptance of the revised Terms.
